Sunday Set-up

I know that Sunday is a weekend day for most, but I hate crash landing in Monday without proper food to sustain me, a good handle on the schedule for the week, and a rough idea of what time will be mine.
My family is not good at remembering things - oh shiny! and they are off with no recollection of us having had a conversation about schedules, appointments, meal plans, and more. I receive myriad messages throughout the day of what are we doing this weekend, when will you be home, what time was (insert name here), and related. So we share a google calendar. It is on the web, we have smart phones, it can be accessed on computers, and it can be shared. We can schedule events and invite the others if they aren't around. We each have a color, so I can see at a glance who is busy when. We've added close friends and family to share calendars and I integrated my Rowan University Production Calendar into it too, so everyone is on the same page (at least that is the intention).

Seeing this grid gives me peace of mind and I find it soothing. Others take one look at our calendar and shake their heads, "No, no, no! How do you even look at that!?"

I've got a new organizational friend, Trello. It's like Pinterest for your To Do List. And once again, it soothes me to know that all my tasks are logged, but also subdivided into their little areas. I used to have a massive to do list of all the things, but A. that is overwhelming and I'd just look at it and shut down, and B. I'd have things on that list from Buy Socks to Create Curriculum for Costuming 2 Class to Call the Dentist and Vacuum (not even specified if that was work, home, the car!?). Now I have separate boards - Costume Shop tasks, Theater/Dance Department Tasks, Revolutionary War To Dos...  Each board can have many cards so you can break things out - My Rev War board has separate sections for breeches, wescots, jackets, and supplies to order. SO helpful and fast. Plus, Trello exists on the computer and my smart phone, so I aways HAVE my list. (A frequent problem before).

Inside one of my Trello Boards. You can add cards for different lists, each item on a list can have a description or its own checklist, you can add due dates and even tag team members if you are using Trello to coordinate a team project.

My Trello Home Page with ALL my Boards listed. I see calm and order here. I know others just see too much!

Along the way, I have had many folx ask, how do you even DO it all? So I wanted to share a little bit of the backstage run sheets we have here at the Grace-Duff house. How do you set up for your week/weekend?
